E-filing system to change

March 16, 2026

The Clallam County Clerk’s Office is changing their document management and E-filing systems in April, 2026. During the transition, no E-filing will be possible from April 6 through April 10, 2026. Information from the Clerk’s Office is below.

Clallam County Clerk – Document Management System Transition

Transition to Enterprise Justice DMS

The Clallam County Clerk’s Office will transition from the current OnBase Document Management System (DMS) to the Enterprise Justice (EJ) Document Management System.

  • Go-Live Date: April 6, 2026
  • After this date, the Clerk’s Office will no longer add records to the OnBase DMS.
  • We are currently working to convert existing OnBase records to the Enterprise Justice DMS.

Access for Current OnBase Subscribers

If you currently hold an OnBase subscription:

  • You will continue to have access through the OnBase WebClient for the remainder of 2026 only.
  • You may register for an Odyssey Portal subscription at no additional cost for the remainder of 2026 only, fees will apply for 2027 forward.

Access for Non-Subscribers

For users who do not currently have an OnBase subscription:

  • You will have the option to subscribe to the Odyssey Portal for a fee to access records.
  • The Clerk’s Office is updating its fee schedule, and subscription costs will be finalized soon. The Clerk’s Office will send out additional information on Odyssey Portal subscriptions.
  • The Odyssey Portal will still be available for public use without a subscription, though some features may be limited.

New E-Filing System: e-FileWA

As part of this transition, the Clerk’s Office will implement a new e-filing system.

  • Platform: e-FileWA
  • Go-Live Date: April 13, 2026
  • Training resources are available on the e-FileWA webpage.

Temporary E-Filing Downtime

Because of the system transition:

  • No e-filing will be available for Clallam County Superior Court from
    April 6, 2026 – April 10, 2026.

Please plan accordingly during this period.

COVID-19: File physical copies of pleadings and bench copies, email no longer allowed

June 22, 2020

The Clallam County Superior Court is returning some procedures back to the normal, pre-pandemic, routines. Bench copies and pleadings may no longer be emailed. Proposed orders must be physically delivered to the Court Administrator office (between Court Room I and II).

Motions and many court appearances will continue to be held by Zoom. Directions for appearing by Zoom are available here. When Zoom appearances are available, they are highly preferred over physical appearance. For necessary physical Courtroom appearances, masks are strongly recommended by the judges.

Clallam County Superior Court Clerk Nikki Botnen is continuing to allow the filing of pleadings and bench copies in her office by delivery to the grey drop box in front of the courthouse (in the front driveway).

Superior Court notice

Here is the Notice from Clallam County Superior Court, some procedures return to pre-pandemic lock down rule exceptions:

1.      Effective immediately the Superior Court is returning to processing pleadings as was the custom  “pre-pandemic.”   In other words,

A.      All pleadings should be filed directly with the clerk’s office.  Questions about how documents are to be filed (i.e. drop box out front, in their office, etc.) should be directed to the Clerk’s office.

B.      If a pleading is filed within five days of when the hearing is scheduled to occur, bench copies should be provided to the box in the clerk’s office.  The court will not accept electronically transmitted bench copies.    

C.      Proposed orders (including conditions of release, restraining orders, etc.) should be delivered to the Court Administrator prior to the hearing.  Electronic copies of orders will no longer be accepted.  Please indicate on your order (by sticky note, etc.) the date and time of the hearing. 

2.      For now all motion calendars will still be handled by Zoom.  Changes may be possible with some calendars sooner than with other calendars (i.e. based upon how many people typically appear for a calendar).  We will keep you informed.

3.      Agreements to proceed on non-jury trials is no longer required now that our county is in Phase 2.  If for some reason a party does not agree to proceed to trial, that issue should be noted by motion with the trial judge.  Pre-trial notebooks are not required (but they are extremely helpful).

Email bench copies of proposed orders

April 16, 2020

UPDATED June 22, 2020. Bench copies may NO LONGER be emailed. They must be provided as before, by placing a copy in the Judge’s Bench Copy Box, in the Superior Court Clerk’s office, or appropriately marked and placed in the drop box in front of the Courthouse, in an envelope clearly marked Superior Court Clerk’s Office.

April 16, 2020. Clallam County Superior Court Chief Judge Brent Basden has modified the method of delivering proposed orders for the judge to review, during the state of emergency caused by the COVID-19 pandemic.

Orders that you want signed must be emailed to [rescinded] who will immediately forward the order to the assigned judge.  The Clerk’s office is doing an amazing job of getting all of the other pleadings scanned immediately so that they can be reviewed by the assigned judge in conjunction with the emailed order.

Protection order service and hearing times modified – COVID-19

April 16, 2020

Governor Jay Inslee has issued a proclamation which modifies the service requirements and time frames for hearings in a variety of protection order matters. Proclamation of the Governor 20-45 addresses RCW statutes providing protection from harassment, violence, stalking, abuse, intimidation, and other forms of harm. The changes will remain in effect until May 10, 2020, or longer if the state of emergency proclamation is extended.

Trial and settlement conference settings

March 25, 2020

Although all trials have been cancelled because of COVID-19, the Clallam County Superior Court is allowing them to be reset. This applies to both civil and criminal trials.

For civil cases, including family law cases, new trial settings and re-settings can be done at the usual time, 8:45 a.m. on Friday mornings, but only by telephone. Appearances at the clerk’s window are not allowed. To set a date, use the usual Notice of Hearing form and include your phone number. The Superior Court Administrator will call the number at 8:45 a.m. on the scheduled Friday morning (or as soon thereafter as your case is called for a date setting).

Settlement conferences, on the other hand, may not be set or reset until court access restrictions are lifted.

For family law cases, use FL All Family 185 for the Notice of Hearing form, from the Washington Court’s family law forms page.

Settlement Conferences cancelled – COVID-19

Clallam County Superior Court has determined that until April 24, 2020, all family law settlement conferences will be stricken and may not be reset until restrictions are lifted. No new settlement conferences may be set. If cases are resolved by parties on their own, agreed orders can still be presented for review and signature.

Superior Court Clerk drop box for filing – COVID-19

The Clallam County Superior Court Clerk’s office will now accept documents for filing and bench copies to be delivered in the grey courthouse dropbox in the drive through area in front of the courthouse. Documents placed in the box before noon will be filed the same day. This change is in response to COVID-19, and may be rescinded at a later date.

County Clerk’s Office Drop Location for Court Filings

Effective March 16th, 2020 – The Clallam County Superior Court Clerk will allow filings to be dropped in the gray County curbside drop box located in the circle drive at the 4th Street entrance of the courthouse. The drop box will be clearly marked with the requirements listed below.

Requirements for drop filings:

  1. Your pleadings must be in a sealed envelope clearly marked for “Superior Court Clerk’s Office”
  2. Your phone number, address and email address need to be included in the event we need to contact you.
  3. Appropriate filing fees need to be included and/or arrangements made with the clerk to pay by credit card over the phone. Failure to do this will result in our office not opening your case.
  4. Your drop off should be in the box by 12:00 p.m. each day for same day pickup. Any documents placed in the box after noon is not guaranteed to be received until the next day.

Please note: ex parte motions on the 1:00 p.m. calendar must still be called or fax-in before 11:00 a.m. and include a notification that documents have been left in the drop box.
